How SCIS integration works in SmartSuite

Cataloguing a new book takes seconds. No typing. No Dewey lookups. No subject heading guesswork.

01

Scan the ISBN

Pick up the new book and scan the barcode (or type the ISBN). SmartSuite immediately searches SCIS and other online databases.

02

Full record retrieved instantly

The complete MARC record arrives in seconds — Dewey number, subject headings, genre tags, series information, and cover image.

03

Book goes straight into circulation

Confirm the record and the book is catalogued, labelled, and ready to loan. No waiting. No rekeying. No manual anything.

04

New books not yet in SCIS? Use the Request Function

SmartSuite's exclusive SCIS Data Request Function lets you request the full SCIS record directly from within your library system. The book can still go out on loan while you wait — SmartSuite creates a temporary circulating record immediately.

New book arrived but no SCIS record yet?
Request it — without leaving SmartSuite.

When a new book isn't yet in the SCIS database, most library systems leave you stuck. SmartSuite doesn't. One click submits a cataloguing request directly to SCIS — from inside your library system, without email, forms, or follow-up.

  • SmartSuite detects the missing ISBN and offers to request it automatically
  • Your details and the book's ISBN are pre-filled — you just confirm
  • The book goes into circulation immediately on a temporary record
  • When SCIS publishes the full record, SmartSuite syncs it automatically
  • No manual follow-up. No missed catalogue updates.

SCIS Integration — Frequently Asked Questions

How does SCIS integration work in SmartSuite?+
SmartSuite connects directly to the SCIS database. Scan an ISBN and SmartSuite retrieves the full MARC record — Dewey number, subject headings, genre tags, series information, and cover image — and populates your catalogue in seconds. No manual data entry required.
What happens if a new book is not yet in SCIS?+
SmartSuite's exclusive SCIS Data Request Function lets you request the SCIS record directly from within SmartSuite. In the meantime, SmartSuite creates a temporary circulating record so the book can go out on loan immediately. When SCIS publishes the full record, it syncs to your catalogue automatically.
Does SmartSuite map books to the Australian Curriculum?+
SCIS records do not include ACARA curriculum links. That mapping is handled by ACARA-Sync — an exclusive SmartSuite feature that runs separately to connect each book to relevant Australian Curriculum learning areas, strands, and year levels.
Do I need a separate SCIS subscription?+
SCIS access is managed separately through the Schools Catalogue Information Service. SmartSuite connects to SCIS on your behalf. As an FSI partner, we have secured various promotions at times for different regions and customers — reach out to us to see if we can help with your subscription.
Can SmartSuite catalogue books without SCIS?+
Yes. SmartSuite also searches WorldCat and other online databases. For records not found anywhere, you can use the SCIS Data Request Function or enter details manually.
